How to standardize company records automatically with Loxo' Data Hygiene Agent

Learn how to use the Data Hygiene Agent to keep your database consistent without manual administrative effort. As new records enter through sourcing, browser extensions or direct inputs, the agent automatically maps variations of an organization's name to a single, connected entity while keeping original inputs fully intact for complete visibility.

This walkthrough highlights how continuous data hygiene improves search results, strengthens AI workflows and maintains clear audit trails for every company record in your system.


Accessing the Data Hygiene Agent

To confirm and track data hygiene within your account, follow the steps below:

  1. Click on Settings in the navigation bar

  2. Select the Agent Impact Center at the top right of the Settings page

  3. In the list of Agents, click on Data Hygiene Agent


The Overview Tab

The Overview tab provides a quick view as to any updates that have been processed within the account including:

  • All updates

  • Auto-resolved updates

  • Updates reviewed manually

  • How many companies have been linked through the agent

  • Review Hours saved

Filter by Update type and Resolution state by clicking the funnel icon next to the search bar

Or use the search bar to keyword search and updates which have occurred.


The Auto-resolved Tab

The Auto-resolved tab will list all updates processed automatically by the Data Hygiene Agent. These updates are listed in chronological order and can be searched through a keyword search.


The Updates to Review Tab

The Updates to Review tab will list possible variants, or duplicate records, for manual review to confirm whether the records should be merged or remain as separate records.

After review, select whether to Mark as Different Companies to maintain the separate records or Merge to Proposed Record to merge. If merging records, be sure to click on the record you wish to retain as the main record.


Frequently Asked Questions

  • Will it change my data without asking me?
    The Data Hygiene Agent standardizes information and resolves fields to trusted values without changing or deleting your original data. The original entry stays visible alongside the standardized value, so you always know what was entered and what was updated. It never merges or deletes records.

  • What if it gets a company wrong?
    Every update includes a clear history showing where the information came from. Any AI-suggested changes are labeled as suggestions and can be corrected. Those corrections help improve future recommendations for your account.

  • Does this merge or delete my records?
    No, the Data Hygiene Agent only improves the information inside a record. It does not combine records or remove anything. That is the Deduplication Agent's job, and every merge through Deduplication requires human approval.

  • Can I see an audit trail or undo changes?
    Yes, The original value is always preserved, so you can see exactly what was entered. Every update is also recorded in the activity log with details about what changed and where it came from.

  • We already have a merge or dedupe tool in our ATS. Why do we need this?
    Most merge tools compare records against each other inside your own database. The Data Hygiene Agent goes further by resolving information against Loxo's talent graph and company data. That helps it understand that different versions of a company name can represent the same real organization, rather than just looking for similar text.

  • Will this slow down or change our current workflows?
    No, The Data Hygiene Agent works in the background and does not change how your team adds information to Loxo. Once enabled, it helps clean data as it moves through the workflows your team already uses.

  • Is this going to automatically merge duplicate candidates?
    No, The Data Hygiene Agent never merges records. It only cleans and standardizes information within existing records. If you're looking for duplicate record management, that is handled separately through the Deduplication Agent, where every merge requires human approval.

  • We don't trust AI making changes to our data.
    That's exactly why the Data Hygiene Agent is built with visibility and control in mind. Every update has a clear source, original values remain available, and AI-suggested changes are labeled so your team can review and correct them when needed. Nothing happens silently.
