Fill Out a Placement Card

Fill out a placement card to keep track of your bookings, fees, and splits

You made a placement. Congratulations!

Once you've made a placement, you can submit a placement card to track your efforts and notify your team. There are five main sections within a placement card: Placement Type, Salary and Date information, Notes, Split Fees, Custom Fields, and Notifications.

This article explains how to complete the different sections on a placement card so you can submit your hire and keep your team informed about your progress.

You can always review past placements or make edits to ones you have already submitted by navigating to your Contracts/Placements Log.


Open a Placement Card From a Person Profile

Placement cards open automatically in Loxo when your candidate first moves to the Hired stage of the pipeline. There must be a person record in the Hired stage or marked with the Hired activity in order to access a placement card. Follow the instructions below to access a placement card once someone has been marked as Hired.

  1. Go to the job that you have filled and scroll to the Hired stage.

  2. Open the hired candidate's profile.

  3. Select the Activity tab at the top of their profile.

  4. Search or scroll to find the Moved to Hired activity or the Hired activity.

  5. Click the Placement icon in the activity to open the placement card.


Open a Placement from the Contract/Placements Page

To search through all Placement Cards, follow the steps below:

  1. Click on "More" on your navigation bar

  2. Select "Contracts/Placements"

  3. Search by person name:

  4. Once the person has been identified, click on the bill icon just to the right of their name:


Add Billing Details

To complete a placement card, the first field you should verify is the Placement Type. The fields for billing will change depending on the Placement Type. These correspond to the "Commitment" type for the job, which are configured under Settings > Types > Job. Follow the steps below to choose your Placement Type.

  1. Placement cards default to the Commitment Type selected during job creation. If the information has changed, you may need to update this field.

  2. To change the Placement Type, click on the drop-down menu to select the appropriate Job Type.

  3. Add the placement salary.

    1. For Contract roles, you will enter the bill rate as well as the pay rate.

    2. For Full Time roles, you will enter salary and select the fee type.

  4. Select the Start Date and End Date. The Created Date will auto-populate with the date when the placement card is saved.


Add Notes to Your Placement

The Notes field offers you a chance to enter free-form notes. You can attach files or link profiles in the Notes section.

This Notes field is best used for internal notes that should be passed on to HR. Many people use them to outline expectations or guidance for a candidate's first day or onboarding. You can also use them to send information to hiring managers, add to a report in QuickBooks, or anything else that is worth noting.


Split Fees Across Team Members

You can attribute this placement across multiple owners, and it's easy to add team members directly into the placement card.

  1. To add any additional job owner(s) with split percentages, click the + button in the Splits section to include Split Fee and other billing information. Clicking the - to the far right of a split will remove that team member from the placement.

  2. Once you add a new Owner, you can adjust the Owner Type and Percentage. Percentages can be below 1% for more complex fee arrangements.

  3. Ensure all fee information is attributed to your team members appropriately and hit "Save."


Update Custom Fields for Placements

If you have custom fields designated for billing, those will show directly on your Placement Card. Update the fields that you need for managing your accounting before completing your placement card.

To create new custom fields for Placement Cards, navigate to the Contracts/Placements Log and click the three dots in the upper right corner to access the "Customize Board" option.


Notify Your Team About Your Placement

It is exciting when you make a placement, and Loxo helps you share the news directly from your placement card. Scroll down to the Notifications section to send out communications to your team.

  1. Click the + button in the Email notifications section to alert a team member about your placement.

  2. Filter by name for internal users you want to notify of your placement. They'll receive an email notification alert when you save the placement card.


Review Your Placement Card

Be sure to review your placement card to confirm the details you've entered are correct and that all appropriate team members are included on notifications.

  1. When you are ready to save your placement, click "Save (#) placement" at the bottom.
