Block Clients or Candidates from Receiving Communication

Block specific company contacts or candidates from receiving further communications

It's important to manage who receives which types of messaging from you, and when. Loxo is designed to help you prevent sending certain messages to people who should not receive them. Read more below to block communication to specific companies or specific people.


Block People from a Specific Company

One of the best ways to prevent your clients from receiving messages that are not intended for them is to use Loxo's Block functionality via the Company Record. You can block a company, which will also block its current employees. Follow the instructions below to block a client company from receiving communication.

  1. Go to the Companies page, and open the company that you want to block.

  2. Click the lock icon in the top right corner to block any contacts who work there from receiving communications. Only contacts (people records) that are marked as currently working at a company will be blocked when you block the company.

  3. You'll have the option to "Block indefinitely" or "Block until..."

    Blocking indefinitely means the block will only lift if manually removed by a user.

    Blocking until a certain date will remove the block after a certain period of time.

  4. When you send a multi-recipient email, anyone who is blocked (currently works at the company AND the company record has been blocked) will not receive the email. This will also be applied to multi-recipient SMS/texts.

    If an email is drafted to a blocked person, a red lock will show next to their email address in the recipient field:


Override a Block for a Single Email

If a company is blocked but you want to reach out to someone from that company with a one-time message, you can override a block to send a single email. This is a manual process, and the override is for one email only.

To override a company block to send a one-time email, follow the steps below.

  1. Navigate to the profile for the person you want to email.

  2. Open a new email and write your message.

  3. The red lock icon will indicate that the person or company is blocked.

  4. Clicking the lock icon will temporarily lift the block so you can send the email.

  5. Finish drafting your email and click Send or use the Schedule Send option to deliver a one-time email message.

After sending the override email, the profile will automatically be blocked from future correspondence for as long as the company is blocked, and they continue as a current employee of that company.


Block a Specific Person 

Similarly, you can block an individual person from receiving messages. Because this action is intended to be specific to a person's record, Loxo does not allow using bulk selection to block people's records.

To block a specific person, simply hit the lock icon located at the top of the person's profile. The standalone lock will allow you to block the person indefinitely, or until they are manually unblocked. Clicking the lock icon with the clock will allow you to block the person until a certain date. Either way, blocking a record will keep that person from receiving all future outreach from Loxo. Blocking a person will prevent that person from receiving emails, texts, or campaigns from Loxo, as listed below:

  • Multi-Recipient Emails

  • Multi-Recipient Texts

  • Outreach Campaign Emails

  • Individual Emails

Just like when you block a company, once an individual has been blocked, you will see the red lock icon anytime you try to email this person. You can still send the email by clicking the red lock icon to temporarily unblock them, as shown above


Note: Blocking a person will not prevent you from calling them or sending them an individual text.

Now, anytime you have someone ask to be removed from your contact list, simply block the person! No data is removed or deleted from your database. They are just blocked from any marketing emails until you decide to unblock them. 

Keep in mind that blocking someone from Loxo is specific to outreach sent from Loxo. If a person is blocked in your Loxo database, that block will not carry over to other systems or your personal inbox.


Block until a Later Date

As mentioned, you can also set up a block to run for a specific time. Delayed blocks could be used for a variety of reasons, including but not limited to:

  • A candidate who said to reach back out in 6 months.

  • A company that might not have any open roles but could be worth re-engaging in the next year.

The delayed block adheres to the same rules as above in stopping outreach from your Loxo account, but this block will be lifted automatically based on your set end time. To set a block until a certain time, simply navigate to the page and select the block icon with the timer.

From there, you can choose the specific time period to set the expiration for the block or a custom, specific date.

Once the time has ended, the person or company will become unblocked automatically, and you will be able to reconnect.
