Legacy Reports

Loxo's original reports offer a variety of data to find meaningful insights

Reporting Tab 

Most of your reports can be found on the Reports Page using the left-hand navigation bar. This should be your first stop when searching for reports in Loxo. 

Please note: with our updated Reports Dashboard, Legacy Reports can now be found by clicking the "Beta" dropdown at the top of the Reports page.

Workflow/Pipeline Report

  • This report gives you an overview of how many candidates each user has added to each Workflow Stage.

  • You can filter this report by a specific user, a specific Workflow Stage or Job Pipeline, or for a specific date range.

Job Workflow Report

  • This is a large report, so you'll start by applying filters to narrow the data down to certain users, Jobs, or Stages.

  • This report is available for all active Jobs.

  • This report provides a list of candidates by Job, and their full history in the Job Pipeline - you can see which stage the candidates are currently in, the date they were moved there, and when they were moved into any of the other previous Job Stages.

  • This report is designed for printing, which means it is not exportable, and you can’t customize the time frame.

Call Analytics Report

  • This report delivers data based on calls made through a built-in VOIP integration with Loxo (such as Twilio).

  • Filter by the number of calls or the duration of calls.

  • Export the Call Log to get the details of the call, including who the call was made to.

Bookings Report

  • This report is pulled directly from the Placement Cards that you complete when you place someone in the Hired Stage of a Job Pipeline.

  • You can filter this report by specific users, specific Jobs, or a defined time range.

  • Compare the total value (green line) of placements to the number of placements (blue dot).

Activities Report 

  • Very similar to the Workflow/Pipeline and Workflow Stage Activities reports, except this report provides insight into the specific Progression Triggers that have been configured for your account.

  • For example, if you have a main "Interviewing" column but you have different event types for Phone Screen, Onsite 1, and Onsite 2, this report allows you to break down each of those subcategories.

Sources Report

  • This report pulls data from the "Source" field on People records to give you insight into where your candidates are coming from.

  • This data can help you determine where to invest resources moving forward based on the most successful sources.

Job Order Report

  • This report provides a list of Jobs created in the designated time range along with the Job details.

  • This is useful if you customize your Job Statuses in Settings so you can see what is active, inactive, closed, won, lost, etc.

  • You can use this report to see how long a Job has been open or run a report on Jobs with a "Closed - Lost" Status to see where your team has room to grow.

Sales Report

  • This report pulls data directly from the Deals tab in your Loxo database.

  • The "Pending" amount is everything that is not marked as Won in your Deals pipeline.

Candidate Pipeline Report 

  • This report shows how candidates are actively distributed across Job Pipelines.

  • Filtering by an employee shows activity tracked by the employee who first tied the candidate to that Job, not necessarily who performed each activity on that candidate's profile.

  • This report is useful for agencies that split recruiting responsibilities among team members and want to track activity by whoever sourced a particular candidate.

Candidate Funnel Report 

  • You can use this report to see how many people make it to each stage from the previous stage, or for insight into how many candidates made it from the beginning all the way to Hired.

  • On the left-hand side, check/uncheck the boxes to add or remove Job Stages from the Funnel. The percentages shown are based on the previous stage. For example, if you source 100 people and 50 are contacted, that means your "Contacted" percentage is 50%. If you uncheck Contacted, you'll see the percentage change to people who made it from Sourced to Submitted.

  • Filter by date to see when the candidates were moved, or filter by employee to see who moved that candidate.

  • This report is not based on the number of actions taken. Rather, it is based on candidates in the pipeline and which stages they've been placed in throughout the hiring process. For example, even if you interviewed someone 5 times, they will only be counted once for the Interviewing Stage in this report.

Time to Fill Report

  • This report shows how long it takes on average to fill a Job. 

  • Note: You can edit the open date and filled date from the Job itself.

  • The Date Filled is based on when a Candidate is added to the Hired column.

  • Time to Fill is calculated based on the Job's Created Date.


    1. If the Job has a Filled Date in its settings, we use this.
    2. If there is no Filled Date in the Job's settings, the system looks at all candidates in the Job under the Placed/Hired Stage and identifies the first placement activity as the Filled Date to calculate the time to fill.

Workflow Stage Activities

  • This report shows all of the activity that takes place within Loxo. Think about the Candidate’s Activity Stream with all of the events you log, like interviews, rejections, hires, etc. This report captures all of that activity.

  • It is important to note that if you add a candidate to the Submitted column, then click to Submit to Client via email, it will show as being "Submitted" twice. You would also see two "Submitted" events logged on their Activity Stream as well.

  • Export the report to get additional details, such as who the activity is tied to, which Job, the date/time of the event, and any specific notes tied to the activity.

  • This report is very similar to the Workflow/Pipeline report but with a different view and more filtering options.

  • You can use the checkboxes in the detailed report under the graph to enable and disable certain parameters.


Candidate Count Report

  • The count for each Job Stage in this report represents the number of people who had events tied to that Stage during the given time period.

  • Unlike the Activities report, it does not count the number of actions in each stage, but rather the number of people who passed through that stage. This means no duplicates or double-counting people in a stage.

  • Filter by Job, Job Type, Job Stage, Company, Company Type, and Date Range to narrow down how each of your Jobs progresses people through the pipeline.

Recruiter Performance Report

  • This report shows the number of Candidates each recruiter has moved to the listed Job Stages during the selected period of time.

  • This allows you to track the number of candidates moved to Sourced, Submitted, Interview, and Hired by each team member, as well as the conversion percentage. It is tracked based on the team member who moved the Candidate.

  • The percentage between each stage is based on the previous stage. So, for example, it tracks the people who made it to Submitted from Sourced and the people who made it to Hired from Interview.

  • Filter by multiple categories at once using the filter button, such as Job Status, Job Tag, Job Type, Company Type, Company, and Job.

Exporting Reports:

To export your reports, click the Export button in the top right-hand corner to receive an editable CSV file. If the "Export Detailed" option is available for the report, you will receive additional details like Candidate Name, Date, Notes, etc. Otherwise, the other "Export" option will give you the report counts.

Remember, if you are working in the system, you can always hover over the Tooltip Icons when available for a brief description of how something works.

Leaderboard Report

This report provides insight into the number of candidates who are owned by each user who have been Sourced and Hired. This can help ensure that the person who originally sourced a candidate for the Job can receive credit, even if they are not the one who submitted the candidate or filled out their Placement Card.

Users can set up this report to one of the three options:

  1. Credit Sourcing Recruiter (the one who originally sourced the now-placed candidate)

  2. Credit All Involved Recruiters (both the recruiter who sourced and the one who made the hiring activity)

  3. Credit Owners (credits the owner of that candidate in Loxo)
