Loxo provides you with tools to work with planned communication via Outreach Campaigns as well as ad hoc messaging to multiple recipients. Sending emails and texts outside of Campaigns is an easy way to personalize your message without sending the same or similar emails to multiple people individually. This allows you to continue building authentic relationships efficiently.
There are two ways to send multi-recipient communication, outside of Outreach Campaigns, through Loxo: from the People page or from within a Job Pipeline.
Send Multi-Recipient Messages from the People Page
You can send multi-recipient emails or text messages from both the List view and the Card view of the People page. Note that if you want to send and track communication related to a job, you should send multi-recipient messaging via the Job Pipeline directly. This will ensure that the email or SMS you send is automatically linked to the correct job.
In addition, when sending multi-recipient emails, rest assured that each recipient will receive an individual message. This means they will not see other recipients' information, maintaining complete privacy.
This approach complies with data privacy regulations such as GDPR, ensuring that user information is handled with the highest level of security and confidentiality.
To set up and send messages to multiple people at once, follow the steps below.
Navigate to the People page.
Select who you want to receive your communication.
From the List view, use the checkboxes on the left-hand side of the profiles to select people.
From the Card view, use the checkboxes in the top right corner of each card to select people.
*Note, if you utilize Lists to create specific groupings of people and a person is on multiple Lists, Loxo does not have a notification system within Lists to alert you if you are sending the same email to a person on different Lists.
Choose the Email or SMS option located at the top of the page.
Select which email or phone type you'd like to send to for the selected people:
For phones, there will be a dropdown menu at the top to select the correct Phone Type:
For Emails, first click on the three dots located at the bottom of the email editor:
Then, select the email type from the dropdown menu to select which email address you would like to send to:
Note: the "Primary" email is the first listed on the person's record.
Everyone you selected will be listed in the "To" section, but rest assured, they will each receive their own individual email. They will not see the other recipients!

Send Multi-Recipient Emails and SMS within a Job
If you want to track sent emails and SMS that are related to a specific job, make sure to send your multi-recipient emails and SMS from the Job Pipeline itself (not from your People page).
To send these emails or SMS within a job, follow the instructions below.
When working in the List view, you can send emails and SMS to multiple people by following the steps below:
Open the Job Pipeline and use the checkboxes on the left-hand side to select the candidates you wish to email or send an SMS to.
Click the Email or SMS button located at the top to open a new email or SMS window.
Select which email or phone type you'd like to send to for the selected people:
For phones, use the dropdown menu at the top:
For Emails, first click on the three dots at the bottom of the email editor:
Then, select the email type that you would like to send to:
Note: the "Primary" email will be the first listed on the person's record. The actual "type" may be different for each person.
Everyone will be listed in the "To" section, but rest assured, they will each receive their own individual email. They will not see the other recipients, much like a BCC!

Make sure anyone without an email address is removed from the list by clicking the red X next to their name.
You can type a new email address or search for other people in your database by clicking into the "To" field after the list of recipients.
You can select a preferred email for a specific person by clicking their name in the "To" section. This will reveal a list of email addresses available on their profile, and you can choose to send to a different email address if needed. For example, say you selected the "Primary" email for all of your recipients, but for one person, you'd prefer to send to a different email, other than their primary address. Simply click their name to select the proper email address to send to.
Click Send.
When working in the Kanban view, you can send emails and SMS to multiple people by following the steps below:
Open the Job Pipeline and select the candidates you wish to email or send an SMS to. You can click the three dots in the top right corner of a Job Stage to "Select All," or you can use the checkboxes in the top right corner of each person's Candidate Card.
Choose "Email" or "SMS" from the actions that appear at the top of the page.
Select which email or phone type you'd like to send to for the selected people:
For phones, use the dropdown menu at the top:
For Emails, first click on the three dots at the bottom of the email editor:
Then, use the dropdown menu to choose which email type you'd like to send to:
