People move jobs all the time, and making sure that your data is up-to-date is critical both for managing your candidates and for maintaining accurate prospecting and business development activity. This may be particularly helpful when you use the Loxo Chrome Extension to bring a new profile into Loxo. Sometimes the company record is not exactly in the right location, and you may want to adjust which specific company a person is associated with.
This article explains how to associate a person's record with a specific company when that particular company already exists in Loxo. When possible, you should retain the structured data suggested by Loxo, as that will best fuel AI across the full Loxo platform.
Note: If a person is a "contact," or the built-in person type that links someone to a company, their events will show up under the company's Activity Feed as well. If the person is a candidate or any other person type, their events will not. Additionally, if a person has more than one person type, such as contact and candidate, all activities will log on the company profile(s) no matter the purpose of the communication.
Update Company Association for a Person
To edit the company a person is associated with, if you have duplicate companies for example, follow the steps below.
Open the profile of the person you wish to add to the company.
Hover your cursor over their current Work Experience and a pencil will appear:
Click the pencil to open the "Edit Experience" window.
Note: each title, even if they're at the same company, will be edited separately.
Click into the Company field to type, and a drop-down list of applicable companies will show.
From the drop-down, you can select the pre-existing company from within your own Loxo database.
Once you have the correct company linked, ensure that the "Currently works in this role" box is checked.
Finally, click "Save" at the bottom of the modal.
Add a Person to a Company Record
To add a person to a new/different company, follow the steps below.
Open the profile of the person you wish to add to the company.
Click the + button next to "Experience"
Add the preferred title for their experience
Note: each title, even if they're at the same company, will be edited separately.
Click into the Company field to type, and a drop-down list of applicable companies will show.
From the drop-down, you can select the pre-existing company from within your own Loxo database.
Once you have the correct company linked, ensure that the "Currently works in this role" box is checked.
Add any other details you may have or need.
Finally, click "Save" at the bottom of the modal.
Add a Person to Multiple Company Records
If a person is currently employed at multiple companies, you can follow the same process shown above with the additional company, particularly checking the "Currently works in this role" checkbox. This will attach them to both companies.
Note: You may need to create a new "Experience" entry for them if it is not already on their profile.
