After you've created a job, you're ready to start sourcing candidates! There are multiple ways to add candidates to a Job Pipeline, and you can review more on those details here. This article explains how to use Loxo's AI* to effectively match candidates based on your job criteria.
Once a job has been created, Loxo's AI is ready for you to add Natural Language Search, a quick Boolean string or location to begin searching for candidates who match your job criteria.
To view a list of AI-matched Candidates for a job:
Open the Job Pipeline in Loxo.
Click the "Add People" button at the top right of the page
Select "Loxo Source" to access Loxo's database of candidates from all over the world, where the AI will match-order prospective candidates for you. Those who match your parameters the most will appear at the top of the list.
The list displays the AI-recommended candidates in an order based on the criteria you have entered for the job. Use the 'Show More' button to see the full background of each candidate. Candidate experience that matches the Title will be highlighted in yellow both in present and past roles.
Now that you have access to Loxo AI's recommended candidates for your pipeline, you can identify strong matches for your job and start to funnel them through your workflow.
Use the buttons on the right to add candidates to your database.
Click Yes to add a candidate to the Shortlist. The "Marked as Yes" Progression Trigger can be mapped to a different stage if needed by an account admin.
Click Maybe to add a candidate to the Longlist. An account admin can map the "Marked as Maybe" Progression Trigger to a different stage if needed.
Click Hide to remove a candidate.
Clicking 'Hide' prompts you to select from the menu below. Note: Hiding a person is unique to each user and will not impact search results for other team members.
You can 'Hide person (default)' which will remove the profile from that job and will no longer display their profile in searches for that pipeline.
You can 'Hide from all jobs' which will remove the person from that job and also prevent you from seeing them in Loxo Source for other Job Pipelines.
You can 'Reject person' and select a rejection reason. Your input here will help Loxo's AI learn from this action as it works to improve its suggestions over time.
Selecting 'Reject person' will prompt you to select a Rejection Reason.
Rejection reasons may be customized by account admins.
Rejection Reasons are often used for KPIs, so this is a helpful step if you will be reporting on the specific reasons that candidates are not selected to move through a Job Pipeline.
After you perform an action on a profile in the Source tab, such marking them as Yes / Maybe or hiding the profile, the person's card will remain visible, but compacted, so you'll have the chance to "undo" the action if needed. Once you navigate away from the Source session, those profiles will be removed so you can identify a fresh round of candidates when you next go to use Source.
Candidates who are rejected in the Source tab will still be added into your database, as they will appear in the Rejected Stage and also be visible in Reports. Admins may delete these candidates from the database altogether if needed by pulling up their profile and clicking the Trash Can icon located at the top. Loxo also provides tools for automating rejection notifications. You can configure email automations that send a rejection message to candidates automatically when they are moved to the Rejected stage in your job pipeline. To set up this feature, take a look at our guide here.
Rejection Reasons may be customized in order to better match your internal language and processes. Note: Only account admins may customize Rejection Reasons. Customizing rejection reasons is vital for aligning with organizational KPIs, ensuring team-wide consistency, and facilitating accurate reporting by mapping reasons to measurable outcomes in recruitment workflows.
To customize these, navigate to Settings > Types > Rejection.
Note: be sure to click "Save" on the right hand side of your newly created Rejection Reasons, or any that you update or rename!
*Loxo’s AI tool uses machine learning and statistical modeling to analyze publicly available professional data, helping recruiters and hiring managers identify candidates whose skills and experience align with a given role. It is designed strictly for top-of-funnel discovery—not decision-making—and all outreach and hiring decisions remain fully in human hands.
