The Schedule Tab in Loxo

Loxo's Interviews and Scheduling Page helps you stay on top of your time

Loxo's Interviews and Schedule Page makes it easy to see everything in one place - no need to jump from one place to another, no need to track lists of Interview. Now you can see all of your interviews, or all interview across your team. The schedule page also gives you quick access to meeting details and profiles for adding pertinent notes.


What is the Schedule Page?

Loxo's Schedule Page is the home of all of your scheduling needs in Loxo. Whether it is a standard meeting or an interview, all meetings that you have scheduled within Loxo will be at your fingertips in one, easy to sort and read page.

Not only does this page list any meetings or interview you, or your team, has scheduled, but it allows for quick access to phone numbers, video meeting links, meeting details and people profiles, all from one page!

You can filter by only your meetings or see a comprehensive list of all meetings, if you are a part of a team. Additionally, you can filter by job, company and guests, search for individual names as well as upcoming, past or specific date ranges for these meetings.

To access your Schedule Page, simply find it's icon on the lefthand sidebar of your Loxo account:


How to Use the Schedule Page

When viewing the schedule page, all meetings will automatically be sorted chronologically. Below is a break down of different functionality within the Schedule page.

  • The Meeting Instance

For each individual meeting listed, there is a large amount of information immediately available.

The date and time are prioritized and prominent:

If the meeting is tied to a job, you will not only see the job title and hiring company, but can be clicked on to view pertinent details about the job:

If your meeting is virtual, and you included a video calling link when scheduling the meeting or interview, you have the option to click "Join" and you will be redirected to the room link you provided when scheduling the meeting:

After a meeting is completed, if Loxo's AI Notetaker joined the call, the recording, transcript and notes will be available for you to view on the Schedule tab as well as in the person's profile.

If you require quick access to the person's profile for preparation or note taking purposes, simply click on their name and you will have full access to their profile!

To delete a meeting from the Schedule page:

  1. Click on the bolded, meeting title:

  2. Select "Edit meeting" or "Edit interview" at the bottom of the flyout:

  3. Scroll to the bottom of the notes and click "Delete"

  • All meetings vs. Interviews

To allow for easier organization, you are able to separate all of your interviews or meetings from the rest of your schedule with a quick toggle!

In order for a meeting to be logged as an interview, ensure that you are selecting "Schedule Interview" when scheduling the meeting

You have the ability to toggle between your own meetings or your team as a whole in one click, just like our other pages. To do this, we have a "My meetings" and "All meetings" button conveniently places to quickly sort:

  • Timeline Filter

By default, the Schedule page will show all upcoming meetings. If you require an adjustment to reflect past meetings or the number of meetings within a period of time, we have a filter for that!

  1. Click on the "Upcoming" button at the top right of the page

  2. Select how you would like to filter

  • General Filter

If you prefer to filter by job, company or guest, we have you covered!

  1. Click on the filter icon at the top right of the page

  2. Select the necessary parameter you wish to filter by

  3. Select the appropriate parameter


FAQs

Question: Do I need to integration my video calling app (i.e. Zoom, Teams or Google Meet) to be able to use the "join now" option?

Answer: No! You do not need to integrate your video calling platforms in order to use the Join Now option. However, you do need to ensure that you input the correct link to your video call room in order for this function to work correctly. This link needs to be added when scheduling a meeting or interview:

Question: Will the calendar links that I send out show me as unavailable when someone is looking to schedule a time?

Answer: Yes! Any meetings you have on your calendar set as "busy" will block that window of time when someone is looking at your availability to schedule, as long as your calendar is synced.

Question: If there is a timezone difference, how will this be accounted for?

Answer: When you schedule out of Loxo, the activity note/scheduled time and the calendar invitation added to your calendar will reflect the timezone setting of your computer. The invitation to your recipients will reflect their own calendar timezone preferences and show accordingly on their calendar.

Question: Will any changes made on my Google, Outlook, etc. calendar be reflected within Loxo?

Answer: Yes, any changes to the title, description, start/end time and location will sync with your Schedule page if you make changes on your Google, Outlook, etc. calendars.

Question: Can reports be created to track these specific activities?

Answer: Yes! These scheduled meetings and interviews have their own reporting option for custom reports!

Question: How can I backdate an interview or add an interview which already occurred?

Answer: While it is not possible to create an interview or meeting from the past in the schedule modal, you are able to utilize our activity progression triggers to document when that interview or meeting was scheduled

This will keep your activities documented the same as if you had utilized the scheduling modal. The "Meeting Scheduled" and "Interview Scheduled" activity types may be turned "off" for your dropdown menu by default. To make then available in the dropdown list of activity types:

  1. Navigate to Settings > Workflow

  2. Toggle to "Triggers" at the top middle of the page

  3. Click customize at the top right of the page

  4. Check the two boxes and select continue

  5. Scroll until you find "Meeting Scheduled" and/or "Interview Scheduled" and use the on/off toggle to the left to turn it on and it will be available from the dropdown list

  6. This will save automatically!
