The Outcome Intelligence Agent

How the Outcome Intelligence Agent runs an automated post-placement check-in with the Hiring Manager and reports the results back to the recruiter.

Placements have a funny habit of going quiet right when you want to hear the most. The Outcome Intelligence Agent fixes that by nudging the Hiring Manager for a quick check-in after someone starts, then dropping what they said straight into your inbox. No chasing, no calendar reminders to yourself — just a little automated tap on the shoulder, 90 days after the dust settles.

Scheduling the Check-In

The Outcome Intelligence Agent starts working the moment a placement is saved — here are the steps to make sure that email is triggered properly:

  1. Enter a placement with a start date

  2. Select the Job Contact the check-in email should come from

  3. Save the placement

A few requirements:

  • Ensure "Outcome Agent" is toggled on in Settings > Agent Settings

  • The Hiring Company Contact to receive this must have the Hiring Manager role

  • The Hiring Company Contact needs to have an email address in their profile

Check-In Email Sent

After 90 days, Loxo automatically sends an email to the Hiring Company Contact from the sender's chosen email account, so it feels personal rather than robotic. If that sync isn't working, Loxo will still send it out through our own noreply address. The Hiring Manager can respond to the survey with a one-tap answer to the prompt.

The send happens at 9:00am in your agency's time zone.

Hiring Managers are busy people, so silence gets a gentle follow-up 3 days later. Still nothing after another 4 days? The recruiter gets a heads-up that it's gone quiet, along with a link to send the check-in by text instead.

Note: SMS check-ins require either Twilio or RingCentral configured in your account.

The Survey

Clicking one of the options in the email drops the Hiring Manager into a short, friendly survey. A simple three question survey follows so the process feels quick and painless.

If “I have some concerns” is used, the survey branches to ask for more details and if they would like to receive a call from the recruiter.

If it's genuinely “a bit early to tell”, no worries — the Agent simply circles back in 28 days to ask again.

Results and Follow-Up

Once the survey wraps up, the recruiter gets a tidy summary email for that placement — flagged as happy, on track, or concerns (callback requests included, so nothing urgent slips through). And if the Hiring Manager mentioned they might be hiring again later this year, the Agent quietly sets a reminder of its own: a friendly nudge email goes out 3 months later, just in time to catch that next opportunity.
