The Talent Intelligence Platform has been custom designed for recruiters based on proven industry practices and refined for optimal performance. While Loxo recommends keeping your job stages streamlined, you still have the tools to customize your process and workflow.
The Workflow Page
Since your process is as unique as you are, you are welcome to create your own customized workflow. Account Admins can customize their team's pipeline under Settings > Workflow.
Before any changes can be made, you will need to click "Customize" at the top right of the page.
Then, confirm that you are aware that making changes can impact any ongoing job searches you may have. Don't worry, the warnings sound scarier than they are - we just want to make sure you are aware. Most changes can indeed be undone.
Keep in mind, these changes take effect immediately across all jobs and users within your account.
Rename a Stage
Some times it is just semantics. If you have a different name for a stage that is pre-built by Loxo, you are able to rename the stage to your preferred terminology. Account Admins can customize their team's pipeline under Settings > Workflow. Changes made to stage names affect all jobs.
Before any changes can be made, you will need to click "Customize" at the top right of the page.
Click the three dots to the right of the stage and select "Rename Stage."
Enter the name you'd prefer for the stage.
If this stage is an "interview" stage, select as "Stage Type."
Create a Stage
If Loxo's default pipeline does not cover all of your tracking needs, you are able to create additional stages. Keep in mind, the Loxo Workflow was designed for simplicity and after years of learning proven practices. If documentation and KPI tracking is what you are looking for, consider utilizing custom Progression Triggers to track these activities rather than creating entirely new stages. To create a new stage, account Admins can customize their team's pipeline under Settings > Workflow. Before any changes can be made, you will need to click "Customize" at the top right of the page.
Click the "Add Stage" button at the top right of the page.
Name the stage.
Click Create
The new stage will be at the bottom of the pipeline by default. Follow the steps below to move the stage to your preferred location.
Move a Stage
You can always reorder your stages! To reorder your stages, account Admins can customize their team's pipeline under Settings > Workflow. Before any changes can be made, you will need to click "Customize" at the top right of the page. Choose where you want the selected stage by dragging the two lines to the left of the stage to the location you prefer.
Delete a Stage
Please review this carefully because once remapped it cannot be reversed without a great amount of manual work. To delete a stage, account Admins can customize their team's pipeline under Settings > Workflow. Before any changes can be made, you will need to click "Customize" at the top right of the page. If changes are still not visible, try logging out and logging back in to refresh your session.
Click the three dots to the right of the stage and select "Delete Stage."
If choose to delete a stage in your pipeline you will be asked to reassign all activities and candidates tied to that stage to a new stage or remove connection to your workflow stages for the triggers previously attached to this stage. Loxo Tips: Of course we see a lot of customizations so we came up with a few suggestions and proven practices as you customize your workflow:
Get your hiring pipeline customized as soon as possible. This will help you fine-tune your process right away and make fewer updates down the road.
Keep it simple. The more activities you track, the more time you will spend on admin instead of actually moving candidates through your process. Every time we see a detailed customization, our customers always come back to us trying to simplify their pipeline down the road. Progression Triggers are incredibly useful for keeping your pipeline simple while allow for specific activity tracking.
Think about what you want to see in your reports as you review your productivity. If there are key metrics that are important to you as you review your candidate activity every month, those are probably activities you want to track in your hiring pipeline.
