Email and SMS Merge Tags

Get personal and simplify your outreach with Loxo's Merge Tags

Like many other software services, Loxo has tools to help simplify your communication efforts across your entire database of people. There are two types of Merge Tags: Person Tags & Job Tags. The Person Tags are available everywhere in the system when composing an email or SMS. Job Tags will only work when emailing or texting within a Job Pipeline, or if an Outreach Campaign is attached directly to a Job Stage, so the system will be able to know which job information to use. Outside of a job, the Job Merge Tags will not work (and will leave you with an awkward blank space in your message)!


Person Merge Tags

Person Merge Tags enable you to use the fields on your People page in your messaging - customizing each message according to each person's appropriate record data. Person Tags work across all of the standard fields that are available in Loxo, as well as any of your custom columns (minus hierarchy or tag columns).

Add Person Tags to Templates

To add Person Tags to your template messaging, follow the steps below.

  1. Go to Settings > Templates > Email

  2. When you are creating an email or building your template library, click into the message body.

  3. As you type your message, identify which data point you want to add to the text.

  4. You'll notice a small tag icon next to 'Person' in the editor. Click the arrow to reveal a dropdown menu of available Person Tags.

  5. Scroll to select the desired data point, and the Person tag will show in your template body.

  6. Be sure to click 'Save' at the bottom when you're done editing your template.

Note that if you are selecting the "email" or "phone" Merge Tags, this will fill in the first/primary email address or phone number listed on a person's profile. There is an option for each phone number or email address to "Make Primary." Just look for the little up arrow to the left of the address/number.

Add Person Tags to Individual Emails

You can send emails to individuals or a few individuals from many places within Loxo. When you get to a New Email screen, you can use Person Tags even if you aren't using a template.

To add Person Tags to your emails, follow the steps below.

  1. Select the person or people you want to email.

  2. Open a New Email window.

  3. If you do not see a 'Person tag' button, click the +Insert button.

  4. Select "Person tags..." from the menu.

  5. Scroll to select the Person Tag or data point that you want to add to your email.

  6. You will see the Person Tag added in the body of your email message.

  7. Send or schedule your email to send at a later date/time when you're done composing your message.

Note that if you are selecting the "email" or "phone" Merge Tags, this will pull in the first/primary email address or phone number listed on a person's profile. This can be changed by selecting "Make primary" to the left of the preferred email address or phone number.


Job Merge Tags

Job Tags let you add details from a specific job and can be useful when setting up Outreach Campaigns within that job. Job Tags can help you cast a wide net in sourcing candidates while still sending personalized messaging. The fields available on the Jobs page are also available within Job Merge Tags. Keep in mind that Job Tags will only populate correctly in emails that are sent from within a Job Pipeline or an Outreach Campaign that is attached to a job. Loxo utilizes three distinct fields for job titles:

  • Role Title: A standardized, internal title, often used for sourcing, integrations, and AI matching.

  • Display Name: A customizable internal title linked directly to the {{job_title}} merge tag used in templates and automations. This field is essential for internal communications.

  • Published Name: A public-facing title used for job postings and applicant-facing materials. It's essential to note that the {{job_title}} merge tag uses data specifically from the "Display Name" field, ensuring consistency in email communications and job stage automation. Other fields like "Role Title" and "Published Name" do not impact the {{job_title}} tag.

You can add new Merge Tags by adding new custom fields. Talk to your team's account admin or read about adding a field or column to the Jobs page to build your Job Tags list.

Add Job Tags to Templates

To add a Job Tag in email templates, follow the steps below.

  1. Go to Settings > Templates > Email.

  2. When you are creating an email or building your template library, click into the message body.

  3. As you type your message, identify which data point you want to add to the text.

  4. You'll notice a small tag icon next to 'Job' in the email editor. Click the arrow to open the dropdown menu of available Job Tags.

  5. Scroll to select the Job Tag or data point that you want to add to your email.

  6. You will see the Job Tag added to the body of your email message.

  7. Be sure to save when you have finished setting up your template.

Add Job Tags to Individual Emails

Remember, Job Tags will only populate as expected if the email is sent from within a Job Pipeline or if the email is a part of an Outreach Campaign that is linked directly to a Job Stage. If you attempt to send an email that uses a Job Tag, but the email itself is not linked directly to a job, the tag will be left blank in your email, which may cause confusion for your recipients.
