Screen and Track Candidates
First, make sure you have set up your note-taking templates, especially for calls and interviews, to efficiently screen your candidate pool.
There are three main methods to keep records about candidates: Activity Notes, Candidate Highlights, and Intake Notes.
Activity Notes
Can be general or linked to a specific Job Pipeline.
Can be "pinned" to the top of the Activity Feed.
Can move a candidate forward in a Job Pipeline if the update uses a Progression Trigger and is linked to a job.
Useful for tracking different updates/events and the communication history with a candidate, such as phone calls and emails.
Activity Feed can be filtered by a specific Job Pipeline, a particular event "type," date range, or used to show activities across multiple projects in chronological order.
Job-specific activity helps power reporting metrics for your team.
For example, enables you to track KPIs on how often a screening call leads to a first client interview.

Candidate Submission Summaries
Short, polished descriptions that are used to share a snapshot of each candidate.
Job-specific information, easily shareable with job contacts.

Internal Notes on Candidate Cards
Job specific notes which live on the candidate card

These notes are internal only and cannot be shared externally
Intake Notes
Master notes that explain a candidate and who they are.
Meant for general overviews of a person, not job-specific.
Searchable, shareable, and easy to find or update.
Useful for freehand note-taking or templated, structured record-keeping.
