Loxo Reports are designed to provide you with foundational insights into your performance, drawing data directly from the work you're doing every day in your database. You can quickly assess key metrics and trends, and use filters to build more customized reports for a deeper understanding of your team's operations. Whether you're tracking progress toward a goal, identifying opportunities for growth, or making data-driven decisions, these reports are a powerful tool to help you access the metrics that matter most.
Building Reports
How do I keep track of KPIs?
You can keep track of your team's KPIs using Activity Reports in Loxo.
Start with a default Activity Report and apply the filters you need to see the data you're looking for.
Use the "Date Logged" filter to set a specific time range. There are several built-in options to choose from (Today, This Month, Last Quarter, etc), or you can set a custom period.
Use the "Activity Type" filter to see metrics on specific actions or events, such as Outgoing Calls, Submissions, Scheduled Interviews, and more!
You can also filter by which user logged the action, specific Job Pipelines and Companies, Stages, and Sources.

Is there a way to make a report that's private to me so the rest of my team cannot access it?
By default, users without admin permissions cannot access or view reports unless they have been given access to the Reports page and a Reports Dashboard has been shared with them by an account admin. If you create a report but do not add it to a shared dashboard, regular team members will not be able to view it. Other admins on the account will be able to see it in the list of Reports.
You can create Group Permissions within your team, allowing some team members to access the Reports page while excluding other team members from viewing it. You can click to learn more about Group Permissions for your team.
Any non-admin user who has been given access to see the Reports page will only see the reports that have been added to a Reports Dashboard that has been shared with them. If a non-admin user opens a report that has been shared with them, they can adjust the filters, but they cannot save or apply any changes, unless they have been permitted to manage reports as well.
How can I set up weekly or monthly goals?
You can create new Goals by clicking the plus sign in the upper right corner of your Reports Page. You'll need to set your Goal Type first (such as Jobs Filled, People Hired, Placements Made, etc).
After selecting your Goal Type, you'll be able to set additional targets - such as who the goal is for and what the actual goal is.

You can even set up Activity Goals for specific Jobs using the "Job" dropdown menu in the Goal Settings:
How do I show more than the Top 10 on a Leaderboard?
The Leaderboard is designed to highlight your top performers toward a specific goal. It is not meant to be a representation of your full team's performance.
The Leaderboard is limited to the Top 10.
How can I run a report to see all candidates who applied from different Sources on any given day?
You can use Loxo’s Reporting Dashboard to create a new People Report. Choose the Candidate Insights report type and continue. Note: the Candidate Insights report pulls profiles who are in a Job Pipeline. If you would like to see the Sources across all people who are added to the database, including new contacts or clients, you can use a People Insights report to capture more than just candidates.
Add and adjust filters to view candidates based on when they were added, what Source they were added from, who is listed as the "Owner" in Loxo, and more.
How can I see the entire revenue breakdown by employee?
Our Revenue Reports break down revenue by Placements and Deals separately. To see a breakdown of the entire revenue across both Deals and Placements, you may need to create two separate reports depending on your team's workflow.
Exporting Reports
Can I export a report without saving it?
To export a report, you must save the report first.
If you are concerned about saving over a different report, you can click the down arrow to "Save as new." This allows you to save a copy of the report with the changed filters while keeping the original report intact for you to go back to later.
You can always delete the copied report later if it's no longer needed after being exported.
Can I export the Candidate Status Report as a CSV?
The Candidate Status Report (accessed directly in the Job Pipeline) is designed to provide a white-glove experience at scale, so the Candidate Status Report is exported as a PDF.
The reports built within Loxo’s Reports Dashboard are exportable as a CSV.
Understand the Data in Reports
How do I check the report numbers if it looks like some of my activity is not showing in the report?
Sometimes teams move candidates through their pipeline by using both the Drag & Drop method and Activity Feed updates directly in the profile. Reports may need to be updated to include both of these events to ensure all applicable data is being captured.
In some cases, using the report to track Activity Feed updates may lead to more insightful reporting, and in other cases, you may want a macro-level view of your data. Let’s look at ‘Interviewing’ data points, for example:
If you Drag & Drop a candidate to the ‘Interviewing’ stage, that event will show as 'Moved to Interviewing' on their profile and in Reports. Setting the Activity Type filter to 'Moved to Interviewing' can give you a broad overview of how many candidates have been moved into the interview cycle.
If you use the activity drop-down on a person's profile and select 1st Interview, two events are added to the profile: 'Moved to Interviewing' and '1st Interview.' You can filter by the Activity Feed update, 1st Interview, for insight into how many candidates are in a specific step in your process.
If your team uses both methods in their workflow, we recommend adding both the ‘Moved to XXX’ option and the relevant Progression Triggers to filter your reports. Check out our quick video below on how to do this.
What is the difference between ‘Moved to Submitted' and Submitted in Reports?
When someone on your team uses Drag & Drop to move people across Job Stages, the activity is logged differently than when someone updates a candidate profile from the Activity Feed.
Drag & Drop actions are recorded as a single standalone event: "Moved to (Job Stage)"
Actions that are taken on a profile that trigger movement in the Job Pipeline are recorded as two events: the actual action - such as Submitted - and the "Moved to" event.
If your team members will be using both methods in their workflow, we recommend adding both ‘Moved to Submitted’ and ‘Submitted’ to your reports. Check out the above video on how to do this.
Tracking "Submitted" events only will miss any submissions that were recorded via Drag & Drop.
Will deleting a Placement or Candidate record affect our reports?
When you remove the Hired or Placement Card details, the Job Report won’t show any "Hired" activity for that particular person.
When a candidate record is deleted, the tasks or activities related to that candidate will no longer show in the reports.
How is revenue calculated in reports?
If a salary and fee exist and the value is greater than zero, the revenue for that job will be the salary multiplied by the fee. This is the calculation where the fee is a percentage as well as a flat fee.
If there is no salary or no fee, the placement should have a start date and end date to pull data. This calculation runs as (Bill Rate - Pay Rate) multiplied by the duration of the placement.
