Confidential Jobs

If your team requires confidentiality for internal or external searches, Loxo's Confidential Jobs has you covered.

Confidential jobs allow you to safely run confidential searches without risking exposure across their broader team or organization, giving leaders confidence that confidential roles, candidate details and compensation data stay visible only to those directly involved.

With the confidential jobs feature, recruiters can

  • Manage role searches that require discretion

  • Keep internal or replacement roles confidential from the broader team

  • Protect client-exclusive or retained searches under NDA

This article walks through how to set up your Groups for visibility as well as marking jobs as confidential.


Set Up Your Group(s)

In order to ensure the right people have visibility, create groups designating the correct people. You can have multiple Groups set up, depending on the level of security needed for different jobs. To create groups, follow the steps below:

  1. Click Settings from the navigation bar

  2. Scroll down to Groups under the Organization section of the settings page

  3. Click the +Add button at the top right to create a new Group, or the Edit button to the right of a pre-existing Group

  4. For a new Group, give a clear, defined name for this purpose

  5. Whether creating a new Group or editing a pre-existing Group, click the "Edit" button

  6. Rename the Group, if necessary, or add/remove members of this Group by typing their name

  7. When selecting this Group in the steps below, only the members of the Group will have visibility to that specific job. Toggle to "Permissions" to adjust any other permissions you'd like for this group, but the job visibility is a default Group selection of people, not a "Permission" like the others on this page.



Mark Jobs as Confidential

Limiting the visibility of a job is as easy as selecting from a drop down list when creating the job.

1. Begin creating a new job

2. Once in the job modal, change the "Visibility" selection at the bottom left of the page


2. Select the Group you want to provide visibility to

3. Click continue to create the job.

4. Any jobs with limited visibility will be denoted with the eye icon shown below


Change the Confidentiality/Visibility Setting of a Job

If you wish to change the confidentiality setting of a job, follow the steps below:

  1. Open the job

  2. Click "Manage" at the top right of the page:

  3. Scroll down to "Advanced Settings."

  4. Change the Confidential/Visibility setting:



Frequently Asked Questions

Which plans have access to this feature?

This is free and built in to all plans!

Is it possible to make a job only visible to me if there are other admin on the team? (like we can for people)

No, all admins can see any confidential job.

Is there a filter for Visibility on the Jobs “grid” page?

No, there is not a filter for visibility.

Can a confidential job still be published?

A confidential job can still be published, but it won't be publicly visible. Only those with permissions will see information on the job's public link.

Are confidential jobs still shareable?

Yes, but similar restrictions as above apply. Only those with permissions will see job-related data (job title, company, candidate summaries) on the shared profile.

Do confidential jobs appear in api results?

Confidential jobs should still appear in API results.

If a user doesn’t have visibility of a job, is it hidden from all job selection drop downs?

Yes, if a user is not in the Group that has visibility to the confidential job, the job will be hidden from them everywhere in the system, as if the job does not exist.

If an event in the person profile activity stream references a confidential job, who can see those events?

The event will not be visible at all on the person record.
