Import a CSV List of People or Companies into Loxo

Add multiple new profiles to your database all at once using CSV files

Importing a CSV file is a quick and simple way to add a collection of new records to your Loxo database. You can use CSV files to import new candidates, as well as business contacts or clients and company records.

CSV Import Proven Practices in Loxo

When importing a CSV, please follow the below general guidelines for a successful import:

  • Keep the file at 10,000 or fewer records (individual cells).

  • The character limit for individual cells is 2800.

  • Do not include pictures or logos in the upload file.

  • Row 1 should be headers only - do not include any person data in the top row.

    • The actual order of the fields or columns in the header does not matter, as you will map each desired field to its specific destination in Loxo, but Row 1 in the file should only include field names such as "First Name," "Last Name," "Title," "Company," "Phone Number," etc.

  • There should not be any empty rows or columns in your upload file.

  • The CSV file should include one tab only - do not upload a file with multiple tabs.

  • Make sure the file you upload is a .csv file - other file types are not supported.

The recommended limit is 500 people/companies in a CSV at one time. While it is possible to import more than 500 records at a time, it may result in a slower import time or timeout errors with the upload.

Testing with smaller datasets of 5 to 10 entries before bulk importing is recommended to identify potential mapping issues early and ensure a successful larger import. Lists are also a helpful tool for managing CSV imports of people records. You can import the person profiles directly to a List, so you can easily manage the batch of profiles altogether.

Note: When importing a CSV file, fields can only be mapped 1:1. We can't support importing multiple fields that are mapped to the same destination in Loxo. Before importing bulk data, it is advisable to test with a smaller CSV containing all relevant fields to ensure correct mapping and category alignment. For instance, a column named Blocked might map to a company’s blocked status with values like true or false. Similarly, fields like Line1, Line2, and Line3 can represent address components—Line1 for primary addresses, Line2 for additional details (optional), and Line3 for further customizations.


Import a CSV File to Add People to Loxo

Follow the instructions below to import a CSV of person profiles into your database:

  1. Open up the People Page or within a Job in Loxo.

  2. Click the drop-down arrow next to the "Add People" button in the top-right corner.

  3. Select "Import CSV"

  4. Select the CSV file from your computer

  5. Choose the data you'd like to import by checking the box next to each desired row. Note: all rows with a blue checkbox must be mapped to a designated field in your Loxo database (their "Destination").

    1. If a row from your CSV file is enabled but is not mapped to a field in Loxo, you will not be able to move forward with the import.

  6. Use the drop-down lists on the right under "Destination" to map the import data to the corresponding field in the Loxo database.

    • In the below example, the Source row titled 'name' on the CSV file represents the candidate's First and Last Name, so the data is mapped to the "Full Name" field in Loxo.

    • If you have separate columns for First Name and Last Name, you can map each column to the appropriate data field, titled "First Name" and "Last Name" in the Destination drop-down menu.

  7. Select the "Person Type" you'd like to import the profiles as (i.e., "Candidates" or "Contacts"). Note: if the data is imported as contact, a Company Record will be created for each person in the dataset. This enables you to track people with whom you are doing business or who you are prospecting to work with in the future.

  8. Select whether this imported data should also be added to a Job Pipeline.

    • In this example, the CSV file is for a batch of candidate records. These candidates are all great fits for the Time Travel Technician project, so they can be added straight to the Job Pipeline as they're being imported.

    • "Add to Job" is an optional field and may be left blank if you wish.

  9. Select whether this imported data should also be added to a List.

    • In this example, the CSV represents candidate records for the Time Travel Technician Job. "Add to List" enables this CSV data to join a wider group of Time Traveling Candidates - which is being tracked on the "Time Travelers Upload" List.

    • "Add to List" is an optional field and may be left blank if you wish.

  10. When you are done mapping your upload, click the 'Submit' button in the bottom right-hand corner.

    Once you click 'Submit,' the data will begin to import into Loxo. Depending on the size of the CSV, it may take a few minutes to fully import. Once you've reached the below screen, press "Got it." You'll receive an email notification once the CSV has been successfully imported.

    Note: if there are any issues with your import, your email notification will specify which rows could not be imported, but will not provide what the specific error or issue was.

If you do not see the option to "Submit" your CSV Import, please review all of your selected fields and their destination mapping to make sure all data has been mapped correctly and no destination fields are being used more than once.

Troubleshooting CSV Import and Export Issues

Incomplete Data Imported

  • Ensure all records were selected before exporting from the original data source.

  • Verify field mappings during import to confirm correct alignment with destination fields.

  • If issues persist, create a screen recording of the process and share the CSV you attempted to import with support for validation.

Empty Export File from Trial Account

  • Check for trial account limitations or incomplete signup procedures.

  • Completing the full registration can resolve empty export issues.


Import a CSV File to Add Companies to Loxo

CSV Imports can also be used to import company records into your database. The workflow and import mapping screen looks a little bit different from the people CSV import, but the overall functionality and idea is the same. Follow the instructions below to add a CSV file of companies to your database:

  1. Navigate to the Companies page.

  2. Click the blue "Add Company" button in the top right corner.

  3. Click the "Import CSV" option.

  4. Drag & Drop or choose a file to upload from your device.

  5. Once the file is uploaded, you can choose which rows you want to import and which field they should be mapped to.

    1. All Source rows will be set to "do not import" by default, but clicking here will reveal a dropdown menu of Destination fields.

    2. Similar to our CSV imports for people, fields can only be mapped 1:1.

  6. After you've mapped your Source rows to your desired Destination fields in Loxo, you'll be able to select an option to merge duplicate companies (based on data points like Company Name and website domain) and change the company "type" (configured under Settings > Types > Company) if needed.

  7. After you click "Import," you will see a pop-up to let you know the import is in progress.

  8. You'll receive an email notification to let you know the import is ready.
