Manage Sales Activities Using Deal Cards

Use Deal Cards to manage and track key information about your business development opportunities

If you're just getting started in Loxo, be sure to build your sales pipeline before adding new deals. You'll want to make sure the framework is optimized to organize your team's specific business development efforts. You can get started with setting up your sales pipeline with our video overview in the Help Center.

Once you've outlined your sales pipeline, the next step is to add deals to your pipeline. Use the links to navigate this guide, or continue reading for more information about your deal cards and how to use their features.


Access Your Deal Cards

The deal card is where you should track all of your notes and updates from emails, meetings, and calls regarding that specific opportunity. You can also schedule a task directly with your contacts or easily reach them via SMS, Call, or Email directly from the deal card. Get started by following the steps below to access your Deal Cards.

  1. Go to the Sales CRM page on the left and click on the title of the deal you want to view.

  2. Your deal card will open to show a full overview of the opportunity.

    • A high-level snapshot of the deal - the title, opportunity amount, and the deal owner - will be shown at the top.

    • The deal's status will also show at the top. This can be In Progress, Won, or Lost. Your deal status is not tied to your sales pipeline stages, so if you move a deal to "Signed" in your sales pipeline, you'll also want to update the status to "Won." These options are not customizable.

    • The pipeline summary shown by the green arrows across the top represents your sales pipeline. You can move a deal in the pipeline by clicking on the stage here or by dragging and dropping the deal from the Kanban view.

Log Notes and Sales Activities on Deals

You can add notes to the deal card to give your team status updates, save important call notes, or simply remind yourself of key insights. You can also log emails, meetings, or calls to track sales activities.

  1. Go to the Sales CRM page and open the deal card you'd like to update.

  2. Below the pipeline summary, there will be a place to "Add activity..."

    1. This will default to a 'Note,' which allows you to type your status, insights, or notes using free-text.

    2. You can also select Email, Meeting, or Call to log feedback about specific activities.

  3. Click Save when you are done typing.

  4. Your note will populate below in the deal's Activity Feed.

  5. To remove a note or other feedback from your deal's Activity Feed, click the trash icon on the right-hand side of the note/event.


Add Tasks to Your Deal

Staying organized is a big part of any sales process, and Loxo wants to help you keep that process simple. You can add tasks to your business development efforts within each deal card to help you and your team stay on track.

Read more below to learn how to create tasks and assign them to yourself or other members of your team. Once assigned, if a task is not completed on time according to the "rotting age," a little red flag will show up on the deal card as a reminder.

  1. Go to the Sales CRM page and open the deal card that you need to add a task for.

  2. Click the New Task+ button in the "Add activity..." section.

  3. A new task window will open where you can fill out the fields for the task.

    • Adjust the name of the task. The default will say 'Task for (Deal Name)'

    • Update the status of your task. The default is "Not Started."

    • Add any necessary notes or relevant feedback.

    • Select a due date and time (the time stamp uses a 24-hour clock).

    • Add links to any jobs, contacts, or companies.

  4. Click "Save" to log your task.

  5. Your task will show up on your deal's Activity Feed once saved.

Link a Job to a Deal

You can connect specific jobs to your deals for quick reference and better organization. To do so, follow the steps below:

  1. Go to the Sales CRM page and open the deal card that you'd like to link a job to.

  2. Using the Linked Job section on the right, click "Link a job." If this is a deal that has been marked as "Won," you'll also see the option to "Add a job."

  3. Select the job that you want to associate with this particular deal, or set up a new pipeline to track the hiring journey for the deal.

  4. To unlink the job, click the three dots in the top right corner of the Linked Job section and choose 'Unlink Job.' Note: Clicking the three-dot icon will also give you the option to 'View Job,' which will direct you to the job pipeline.


Attach Documents to Deals

You can use deal cards as a home base for all of the pertinent details and documents relating to that opportunity. Attach documents like contracts, agreements, or notes to keep all of the relevant information together and accessible.

To attach a document to a deal, follow the steps below.

  1. Go to the Sales CRM page and open the deal card that you need to add an attachment to.

  2. Scroll down to the Documents section, located in the bottom right corner, and click 'Add.'

  3. Drag & Drop your file or locate the file on your device. Follow any prompts to upload your document.

  4. You'll see your document once it's been uploaded. The attached documents can be downloaded or deleted at your convenience.
