Custom Personalization in Outreach Campaigns

Use Outreach Campaigns to automate your efforts, while still adding a personal touch

With the current and ever-changing landscape of email deliverability, it is more important than ever to personalize your emails so they are relevant to your audience. Personalizing your message content gives you a higher chance of landing in the inbox, rather than the Spam folder, and also raises your chances of people actually opening and engaging with your outreach.

When you're using the Loxo Chrome Extension or looking at a person's profile in your database, you can personalize an Outreach Campaign to that specific candidate or client. These personal touches can make a stronger impression than a standard Campaign message or Email Template and help your outreach stand out.

Let's take a look at how this can be done in Loxo.

Note: This functionality impacts any A/B testing, if you have that set up on your Campaign. If you're using A/B variants in your Campaign, it is not recommended to personalize those stages through the Loxo Chrome Extension or a person's profile in your database.


Create Your Campaign

You can personalize any Outreach Campaign, even if it's already attached to a Job Stage or was created using Loxo's OutreachGPT. The first step to getting personal is simply having a Campaign to use. You can read more about GPT-created Campaigns or using Outreach Automation in a job.

Here are some helpful reminders if you are adding someone to a Campaign that is linked to a job stage:

  • Finalize the setup of the Campaign itself before customizing any messages and adding your prospects. You can only personalize the stages that have already been setup for the Campaign. You won't be able to add stages or change the stage types.

  • A prospect who is added to an auto-add Outreach Campaign will automatically be placed in the Job Stage that the Campaign is linked to.

  • Depending on your Progression Triggers (such as "Outreach Email Sent"), the candidate may automatically move to another stage in the Job Pipeline.

  • Check your Progression Triggers to understand how your candidate will move through the pipeline as they receive your Outreach.


Personalize Messages Using the Loxo Chrome Extension

Personalization is at your fingertips, even if you are not directly in Loxo. When you are reviewing a social profile or other career sites, you can add a person to a campaign AND still have full control of your message content - without having to leave their profile.

Follow the steps below to personalize Campaigns using Loxo's Chrome Extension.

  1. Go to a person's profile on the site or social network you're reviewing.

  2. Open the Loxo Chrome Extension. A red dot indicates that the person is already in your database, based on the page URL you're viewing at the time.

  3. If the person is not in your database yet, you'll see the option to add them.

    • You'll also see an "Import as..." option. This will show the default you have selected under Settings > Roles > Person, but you can change this as needed depending on what this person's "type" should be.

  4. Select the "+Add to..." button and then choose "Add to campaign."

  5. Select, or search for, the Campaign you want to add the person to.

  6. The Campaign setup will be displayed directly in the Chrome Extension, allowing you to personalize the copy of the Campaign that this specific prospect will receive.

    Any customizations you make will only apply to the Campaign sent to this individual person. The person will still be listed as a prospect for the original Campaign, though, for analytic and organizational purposes.

  7. You will see a "Modified" badge for any stage in the Campaign that has been personalized.

  8. Click on "Add to campaign" to begin the sequence or click the clock to select a specific date/time that the Campaign should start for this person.

Reminder, this level of personalization is NOT available on stages with A/B Variants.


Personalize Messages from a Person's Profile

When you are working within your database and reviewing profiles in Loxo, you'll see the option to "Personalize" when you go to add them to an Outreach Campaign. This option will be available if you click the + button found in the Loxo Outreach section located on the right hand side of their profile, under their Details.

Keep in mind that this functionality impacts A/B testing, if you have that set up on your Campaign. If you're using A/B variants in your Campaign, you should avoid personalizing these stages through the Loxo Chrome Extension or a person's profile in your database.

Follow the instructions below to personalize the content of your Campaign, directly from a person's profile in Loxo.

  1. Open the person's profile.

  2. Locate the Loxo Outreach section under the Details tab on the right and click the + button.

  3. Scroll or search to find the Campaign you wish to add the person to and check the box on the left.

  4. Select Personalize in the bottom left corner of the modal.

  5. Decide which stages you'd like to personalize for this person and click the three dots next to the stage delay.

  6. Select Edit.

  7. This will open the stage's settings for you to customize as needed for this specific person. You can add as much detail as you'd like here, calling out specific information from their profile or resume. They're the only one who will receive this version of your Outreach Campaign.

    • Modify the subject line and body of your Email Stages so they are relevant to the person.

    • Preview your Call Queue Stages and add notes about highlights from their profile that have peaked your interest.

  8. Select "Save" in the bottom right hand corner to keep the personalized version, or select "Cancel" to revert it to the original.

  9. You will see a "Modified" badge for any stage that you have personalized.

  10. When you have finished customizing your Campaign for this person, use the "Add" button to kick off the sequence, or use the Clock icon to schedule this for a later time.
