Share Candidates

Learn how to share candidates and record placements within Loxo

An important step in the Loxo Workflow is sharing candidates with key decision-makers, such as hiring managers and other contacts.

Within Loxo, there are 5 main ways for you to easily share your candidates:


Submit a Candidate Within Their Profile

The Submit Candidate button within a profile creates a link for anyone to view a digital version of candidate's profile and include highlights, resumes/CVs and any other relevant attachments. Utilizing the digital Submit Candidate option will also provide the opportunity for client's to add a comment or complete a scorecard for the specific candidate and job.

*This submission option is only available on profiles currently within a job.

To Submit a Candidate within their Profile:

  1. Click on a candidate's name to open up their profile. Click the Share button, then select the "Submit Candidate" option.

  2. Add a Submission Summary to provide insights and further details about the candidate utilizing our Submittal Agent with the "Write with AI" button or writing your own. Writing with AI will expend a fraction of a Loxo Credit.

  3. Add your Intake Notes to the digital profile - these will be visible as "Additional Notes" at the bottom of the candidate profile.

  4. Click Next

  5. Select the profile sections that you would like the recipient to see and save as your default settings, if you so choose:

  6. Copy the link to share as a hyperlink within a custom email or other messaging platform or generate an email within Loxo.

  7. If submitting candidates to multiple decision-makers, select whether to send the email to each individually or as a group

  8. Attach resumes/CVs, if necessary - if candidates have multiple files attached to their profile, you can select the specific file you wish to attach.

  9. Customize the templated email, add your own template or write an email from scratch. If removing the pre-populated message, but intending to provide the digital link, ensure that you copy the link before adding a new template or writing your own text.

  10. Click 'Send' when you're done to share your candidate or schedule for another time.

Submit Candidates from the Job Pipeline

Use the Submit Candidate option when you want to quickly share one or more candidate(s) with your client.

To submit a candidate from within a Job Pipeline, follow the steps below:

  1. Select the candidate(s) you would like to submit:

    1. From the Kanban View:

    2. From the list view:

  2. Click the 'Submit Candidates' button just above the candidates

The Hiring Manager Portal

Setting up your Portal in Loxo gives you a quick and easy way to share multiple candidates at once, along with an overview of your Job. The Hiring Manager Portal is especially useful for sharing candidates with people who do not have direct access to your Loxo database, such as hiring managers, members of HR or executive leadership at the companies you are hiring for.

Select What Candidate Information is Shared

Setting up your sharing options for the portal can be done under Settings > Job Share Permissions. These are the broad areas of shared information within the portal itself. In order to remove particular aspects of a candidate profile, you will need to adjust the settings outlined below.

Information that can be shared or hidden through the Hiring Manager Portal include:

  • Candidate Fields:

    Examples:

  • Scorecards:

  • Job details:

Simply uncheck any information you do not wish to be visible to your hiring managers and click Save at the top right!


Sharing Your Hiring Manager Portal

In order to share to your Hiring Manager Portal, follow the directions below:

  1. Click on the Share button at the top right of the page:

  2. Choose who to share your portal with:

    1. Hiring Managers attached to the job should already be present. To grant them access:

      1. Click "can view 0 stages:

      2. Select Resend Invite:

        • This will send them an email invitation to view your portal
          ​

      3. Now, choose which stages are visible for each person:

      4. Click the share button to copy the URL for the Portal:

    2. To add new contacts to view your portal:

      1. Enter their email address:

      2. Click "Invite" to send an email invitation to your contact:

      3. Now, choose which stages are visible for each person:

      4. Click the share button to copy the URL for the Portal:


Executive Presentations

The Executive Presentation is designed to save you time creating manual documents that summarize prospects for your jobs. Each job can have multiple Executive Presentations. To access the Executive Presentation you need to go to the relevant job.

  1. From your Jobs page, select your desired job.

  2. In the upper right-hand corner of the job, select the Presentations button

  3. Select the Loxo Default Report, a previously created version of the Executive Presentation or create a new version with the Loxo Default Report as the building block

Pitch Candidates with Loxo's MPC/Spec CV Feature

Loxo's Most Placeable Candidate or Speculative CV feature is a great way to pitch candidates to your clients, even if they are not in a Job Pipeline. Pitching a candidate in this way will also automatically add the candidate to the "Pitches" tab on your Deals Page. Follow the instructions below to pitch a Speculative CV or your Most Placeable Candidates:

  1. Open the profile of the candidate you'd like to pitch. Click on the Share button and select "Pitch candidate"

  2. You can also select multiple profiles from the People page and use the bulk action to "Pitch candidates."
    ​

  3. Selecting the Pitch option will generate a branded resume - if the candidate is not in a Job Pipeline yet, the "Share" button will automatically generate a branded resume - to pitch the candidate(s), including your agency name as the header and your saved logo at the top right of the profile.
    ​

  4. Customize which profile details you'd like to share by clicking the "Options" button in the top right corner of the page.
    ​

  5. Click "Continue" in the top right corner to move on after all adjustments have been made.
    ​

  6. Search for contacts in your Loxo database that you want to pitch the candidate(s) to.
    ​

  7. Select the "Email" option to compose an email in Loxo. This allows you to send out a share link for your Pitched Candidate(s).
    ​

  8. Select the "Manual" option to generate a share link or PDF file for your Pitched Candidate(s).

Once you have pitched your candidates, you can access these by navigating to Sales CRM > Pitches. This is where you can track your notes, updates, link a job and more as you work with your contacts.
